Google Workspace

Microsoft 365 vs Google Workspace

The Two Platforms at a Glance

Microsoft 365 and Google Workspace are the two dominant productivity suites used by businesses worldwide. Both offer email, document creation, collaboration tools, video conferencing, and cloud storage – but their philosophies, strengths, and ideal use cases differ significantly.

Choosing between them is one of the most consequential technology decisions a business can make. Get it right and your team gains a productivity platform that works the way they work. Get it wrong and you'll spend years fighting against a tool that doesn't fit your organisation.

Here's our practical guide to making the right call.

Microsoft 365: Strengths and Best Fit

Microsoft 365 (formerly Office 365) is built around familiar desktop applications – Word, Excel, PowerPoint, Outlook – that have been the standard in business computing for decades. The suite combines these with cloud services including Exchange Online (email), SharePoint (document management), Teams (collaboration), and OneDrive (storage).

Where Microsoft 365 excels:

  • Complex document formatting – Word and Excel remain unmatched for sophisticated formatting, formulas, and document fidelity
  • Enterprise IT environments – Deep integration with Active Directory, Azure AD, and Windows device management makes M365 the natural choice for organisations with complex IT infrastructure
  • Regulated industries – Microsoft's compliance and data sovereignty tools are mature and well-documented, making it easier to satisfy regulatory requirements in finance, health, and government sectors
  • Microsoft-dependent workflows – If your business relies on Teams, Power BI, Dynamics 365, or Azure services, M365 is the obvious choice for tight integration
  • Offline work – Full-featured desktop applications mean productivity continues even without internet connectivity

Google Workspace: Strengths and Best Fit

Google Workspace (formerly G Suite) is built cloud-first. Gmail, Google Docs, Sheets, Slides, Drive, and Meet are all browser-based tools designed for real-time collaboration. There are no desktop installations required – everything lives in the cloud.

Where Google Workspace excels:

  • Real-time collaboration – Multiple users can edit the same document simultaneously with no conflicts, making it ideal for teams that work on documents together frequently
  • Simplicity and onboarding speed – The tools are intuitive, and new employees can be productive within minutes rather than hours
  • Cost – Google Workspace plans are generally less expensive than comparable M365 plans, particularly for smaller teams
  • Device flexibility – Because everything is browser-based, Workspace works equally well on Windows, Mac, Linux, and Chromebook devices
  • Startups and fast-growing companies – Workspace's simplicity and scalability make it popular with technology companies and businesses that prioritise agility over legacy compatibility

Security: How Do They Compare?

Both Microsoft and Google invest heavily in security and operate at a scale that means their infrastructure is hardened against all but the most sophisticated attacks. The security differences for most businesses come down to the tools available for administration and compliance.

Microsoft 365 has a broader and more mature set of enterprise security and compliance tools, including Microsoft Defender, Purview (formerly Compliance Center), Privileged Identity Management, and Conditional Access. For businesses with complex compliance requirements or a dedicated IT security team, M365 offers more granular control.

Google Workspace offers strong security fundamentals – two-factor authentication, context-aware access, and data loss prevention – but its compliance tooling is less extensive than Microsoft's. That said, for most SMEs, Google Workspace's security capabilities are more than adequate.

Pricing: What Does It Actually Cost?

Pricing varies by plan and is subject to change, but as a general guide for Australian businesses:

  • Microsoft 365 Business Basic – Web and mobile apps, Exchange, Teams, 1TB OneDrive. Entry-level plan suitable for light use.
  • Microsoft 365 Business Standard – Adds desktop Office applications (Word, Excel, PowerPoint). Most popular for SMEs.
  • Google Workspace Business Starter – Gmail, Docs, Drive (30GB), Meet. Very accessible entry point.
  • Google Workspace Business Standard – Adds increased storage (2TB pooled), larger Meet sessions, and more admin controls.

When comparing costs, factor in not just the licence fee but the total cost of ownership – including migration costs, training time, and any integrations with your existing systems.

Our Recommendation

There is no universal right answer – the best platform depends on your specific situation. Our general guidance for Australian businesses:

  • Choose Microsoft 365 if you work in a regulated industry, rely heavily on Excel or complex Word documents, have an existing Microsoft-centric IT environment, or require enterprise-grade compliance tooling.
  • Choose Google Workspace if your team prioritises collaboration and simplicity, you're a growing business without legacy IT complexity, or cost is a significant factor.
